Add Time to a Work Order and Update Employee Time Sheets - User Guide

Track labor accurately by adding time entries to work orders—automatically reflected in your team’s time sheets.

Getting Started with Work Orders

Begin by opening the relevant work order and confirming that all necessary details (e.g., job description, client info) are entered.

Adding Time Entries

If work has already begun, you may see existing time entries. To add new time:

  1. Go to the Time and Materials tab of the work order.

 

  • Click Check In when starting, and Check Out when finished.

  • After checking out, a pop-up will appear:

    • Set the status (e.g., “Scheduled” or “Complete”)

    • Add a note about the work (e.g., "Completed installation")

    • Optionally, add a maintenance note to appear on the employee's time sheet.

 

Entering Specific Time Values

If you need to manually enter time (e.g., for apprentices or administrative staff):

  1. Select the user.

  2. Enter the number of hours.

  3. Click the three dots to add notes.

  4. Click the green checkmark to confirm.

Note: Only assigned users or those with admin permissions can make manual entries.

 

Adjusting Time Entries

To edit a time entry:

  1. Click the Edit icon next to the entry.

  2. Update the number of hours or adjust the date.

  3. Click Save to apply your changes.

 

 

Reviewing and Editing Time Sheets

Once time is entered on a work order:

  • Navigate to the employee's Time Sheet to view linked entries.

 

  • You will see all the time entries linked to the work order.
  • Click on any time entry to view labor notes.

 

Making Adjustments in Time Sheets

As an administrator, you can make adjustments directly in the time sheet:

  • Admins can click Edit to update time directly from the time sheet.

  • Changes made here will reflect back in the work order's Time and Materials section.
