Alternative Email Templates - User Guide

Customize and streamline customer communications using ServiceBox’s Alternative Email Template feature for quotes, work orders, and invoices.

Summary 

Ever need to send out different kinds of emails to customers for quotes, work orders, and invoices? You can now do this more efficiently with ServiceBox’s Alternative Email Template feature. Each email template can include organization-specific branding, including your own logos and customized body content.

There are two main steps to configure these new email templates in your ServiceBox site:

  1. Set up the templates for each section (Quotes, Work Orders, Invoices) inside your Settings screen.

  2. Choose and apply a template when sending emails. You can preview and edit the email before sending.

Instead of rewriting default email content each time, you can now create reusable templates that maintain consistency in branding and improve your customer experience.

How to Set Up Alternative Email Templates in Settings

ServiceBox allows you to create Alternative Email Templates for Quotes, Work Orders, and Invoices. The setup process is the same across each section. Below is an example using Quotes.

  1. Go to Settings > Quotes > Email Setup.
    You’ll see your current Default Email Template. If you’re a new customer, we recommend setting this up first.

  2. Click on Alternative Email Templates.


 

3. This section will initially be blank. Click Add Template to create a new one.



4. Fill in the template name and body content. The system will save it for future use.

5. After setup, you’ll see your templates listed. You can edit (pencil icon) or delete (trash icon) any template.

How to Use Email Templates in Quotes

Once your templates are set up, you can easily use them while emailing quotes.

  1. Go to Quotes > select and Edit a quote.

  2. Navigate to the Email section.

  3. Click on Select Email Template.

  4. Choose the relevant template (e.g., "Quote For Review"). The email body will auto-populate with your template content.

  5. Click Send Email.

This streamlines the process and reduces the likelihood of human error when sending emails.
