Applying Rates for Individual Users
Learn how to show individual technician labor items on invoices instead of grouping all time under a single
When we create a work order from Time and Materials, the system automatically lumps everyone's time into "Journeyman." It doesn't seem to matter if it's three or four separate people. Is there a way to display their time individually on the invoice?
Yes, absolutely — you can do this. The reason all the time goes into the same item is that ServiceBox uses a default labor item when time is transferred from the Work Order to the Invoice.
You can check what the default labor item is by going to:
Settings → Invoice → Invoice Settings
There, you'll see dropdowns for Default Labour Item and Default Overtime Item.
We also allow individual users to have their own labor item if you'd prefer. For example, let's say you want one tech billed under the labor item "Journeyman" and another under "Apprentice." You can set a custom labor item for each technician in:
Settings → Users → (Select User)
Within the user profile, there's a dropdown for Default Labour Rate. One of the options is "Default," which uses the company-wide value from the Invoice Settings. But you can also choose a specific labor rate for that user.
So if you want to show different labor items per tech on the invoice, create labor items like "Labour – [Tech Name]" and assign them to the corresponding users.
