Attachments: Internal Only vs. Admin Only

Admin Only vs. Internal Only:

Admin-only attachments are designed for situations where certain files or documents should be exclusively accessible to administrators. This means that even though other users can attach files, only administrator have the privilege of viewing them.

On the other hand, internal-only attachments, are visible to all internal users, regardless of their role, but remain hidden from end-users or customers. This ensures that sensitive information or documents intended for internal use are not accessible to external parties.

 

Activation of Admin Only Attachments:

It's crucial to note that internal-only attachments are available by default, while admin-only attachments need to be activated.  Please contact our support team suppor@jobboxsoft.com if you would like to activate this feature.

 

Practical Implementation:

  • Open Work Order where you would to add an attachment
  • Attach a file
    • Click on checkbox "Internal Only" if the intention is to ensure attachment is visible to all internal users and not customers
    • Click on checkbox "Admin Only" if the intention is to ensure attachment is only visible to user with a role of Administrator in ServiceBox
    • If both checkboxes are checked, attachments will be visible to all internal users, customer will not be able to see this attachment.
