Customizing Basic User Access Levels in ServiceBox

Basic User access levels in ServiceBox can be customized to fit the specific needs of your company. You can grant or restrict access to various features within ServiceBox for Basic Users, including but not limited to:

Notes

You can configure Basic User permissions to view, add, edit, or delete notes in various sections:

  • Can View All Notes: Access notes in Customers, Jobsites, Quotes, Work Orders, Invoices, Vendor Orders.

  • Can View/Add Own Notes: Add or view only the user’s own notes.

  • Can Delete Notes: Remove any note.

  • Can Edit Notes: Edit any existing note.

 

Contacts

Control how Basic Users interact with contact records:

  • Can View Contacts

  • Add Contact

  • Can Delete Contacts

  • Can Edit Contacts

 

Customer

Basic Users can be given permissions for the following activities:

  • Can View Customers

  • Add Customer

  • Can Delete Customers

  • Can View/Edit Protected Custom Fields

  • Can Set/Unset Customers On Hold

  • Can Export/Import Customers

  • Can Edit Customers

 

Jobsite

In the Jobsite section of Access Levels, you have the flexibility to grant or restrict Basic User access to the following:

    • Can View Expiring Contracts

    • Can View Contract Information

    • Add Job Site

    • Can View All Job Sites

    • Can View Jobsites for Own Work Orders

    • Can Delete Job Sites

    • Can View/Edit Protected Jobsite & Unit Custom Fields

    • Can Edit Job Sites

    • Can Run Job Site Import/Export

    • Can Run Unit Import/Export

    • Can Delete Units

Quotes

In the Quotes section of Access Levels, you have the flexibility to grant or limit Basic User access to these different functions. 

Configure quote permissions, including pricing and markup settings:

  • Can Add/Edit All Quotes

  • Can Change Quote Prices and Markup

  • Can Delete Quotes

  • Can View All Quotes as Read-Only

  • Can Add/Edit My Quotes Only

  • Can View Quotes for My Work Orders (Read-Only)

  • Can Edit Quotes for My Work Orders

  • Can Create Work Order from Quote

  • Can Edit Discounts on Quotes

  • Can View Restricted Status Quotes

  • Can Edit Unit Cost for Restricted Quote Categories

  • Can View Quote Unit Cost Markup

  • Can View Quote Pricing (Ignored if markup access is granted)

🛑 Note: Some permissions listed (like viewing quote totals or attachments) are no longer enforced and may still allow user access regardless of checkbox status.

 

Work Orders

Customize access to Work Order fields, events, and scheduling:

  • Enter Work Order Header Items

  • Add Work Order

  • Can Assign/Delete Work Orders

  • Can Enter Others’ Time (on Assigned or All Work Orders)

  • Can Edit Invoiced Work Order Items

  • Can See Work Order Events

  • Can Change Signature Requirements

  • Can View/Edit Protected Custom Fields

  • Can View All Work Orders

  • Can View Restricted Status Work Orders

  • Can Print or Email Work Orders

  • Can Schedule Users on Own Work Orders

  • Can View Job Costing

  • Can Use Admin-Only Work Order Status

  • Can Add Time Without Note

  • Can Edit Work Order Description, Jobsite, Customer, Status, and Category

  • Can View Schedule Tab on Work Order

  • Can View Work Order Bill To and Billing Address

  • Can Edit Work Order Custom Fields

  • Can View All Attachments
