How to transfer customer, jobsite, and inventory data from Sage 300 into ServiceBox using CSV or Excel files.

Overview

Data import refers to the process of transferring information from external sources into a system or software application for purposes such as analysis, storage, or manipulation. This involves extracting, transforming, and loading data from different formats or repositories into a central location to support data-driven processes like analytics and integration. ServiceBox provides robust solutions for importing data from Sage 300, ensuring a seamless transition and integration of business data.

 

Importing Data from Sage 300 to ServiceBox

ServiceBox supports importing client data from Sage 300 using Excel or CSV files. The following datasets can be imported:

  • Customer Data

  • Jobsites linked to Customers

  • Historical Work Orders with associated Customer and Jobsite data

  • Inventory Items

  • Non-Inventory Items

  • Unit Import

ServiceBox also offers a service to help customers import their data. Our team will evaluate the data and provide a quote. Once approved, we will perform the import.

 

What's Needed for the Data Import Process?

To begin, we require files in Excel or CSV format to evaluate the data and assess complexity. ServiceBox automatically eliminates duplicates and processes all files with the following steps: data deduplication, analysis, correction, and cleansing.

Required files from Sage 300:

  • AR_Customer File: Contains Customer Name, Display Name, Address, Phone, Email, etc.

  • A/R Ship-To Locations: Includes customer ship-to details such as Customer Name, linked jobsites, and associated information. It is important that jobsite data can be linked to the customer.

 

Customizing Columns in ServiceBox

If the Sage 300 files include columns not available in ServiceBox, we can create custom columns to meet specific needs.

Example: If a "Previous Work Order #" column is needed, we can create a custom column labeled "Historical WO#" and import the relevant data.

Important Note: Be sure to specify all desired custom columns before starting the import process to ensure accurate integration.

 

How Does the Data Import Process Work?

  1. Provide All Files: Submit all relevant Excel or CSV files to your ServiceBox representative. These may vary based on your business needs and previous software.

  2. Data Analysis: Our database experts analyze the structure, format, and complexity of the data.

  3. Quote Preparation: Based on the analysis, we prepare a quote outlining time and effort required.

  4. Approval and Import: Once you approve the quote, the import process begins. We'll also address any questions about the quote or process.

  5. Data Cleansing and Integration: All data undergoes deduplication, analysis, correction, and cleansing before being integrated into ServiceBox.
