Understanding Data Import Services
Data import refers to the process of transferring information from external sources into a system or software application for various purposes such as analysis, storage, or manipulation. This involves extracting, transforming, and loading data from different formats or repositories into a central location to facilitate data-driven processes like analytics and integration.
ServiceBox provides many options for importing data, including self-service tools such as accounting connectors and spreadsheet uploads.
We offer the ability to import client data via Excel or CSV files. The following datasets can be imported:

Jobsites linked to Customers

Historical Work Orders with associated Customer and Jobsite data

Unit Import
We also offer a data import service, where our team works directly with your files to evaluate and process the data. We'll provide a quote based on the complexity, and once approved, we’ll complete the import on your behalf.
What's Needed for the Data Import Process?
We require files in Excel or CSV format to evaluate your data and determine complexity. Don’t worry about duplicates—ServiceBox automatically eliminates them. All files go through processing steps such as deduplication, analysis, correction, and cleansing before being integrated into ServiceBox.
Here’s what we need:

Customer File: Includes customer details like Name, Display Name, Address, Phone, Email, etc.

Jobsite File: Contains data about jobsites linked to customers. It’s important that each jobsite can be connected to a customer.

Work Order Data File: Includes historical work orders and their associated information.

Inventory File: Product data such as names, quantities, and prices.

Non-Inventory File: Information about service-type items (used in quotes), including descriptions and pricing.

Unit Export File: Contains data related to technicians, equipment, and job issues. Includes fields like Jobsite Display Name, Customer Display Name, Technician Name, Description, Location, Make, Model, Serial Number, and Replacement Item.
Customizing Columns in ServiceBox
If your source files contain columns that aren’t available in ServiceBox, we can create custom columns to support your data.
Example: If a client needs a “Previous Work Order #” field, we can add a custom column labeled “Historical WO#” to store this data.
Important: All custom column requests must be submitted before the data import begins to ensure proper integration and accuracy.
How Does the Data Import Process Work?

Provide all required files to your ServiceBox representative. We recommend Excel or CSV format.

Our database team analyzes the files to assess structure and complexity.

Based on this analysis, we prepare a time and effort estimate and generate a quote.

Once the quote is approved, the data import process will begin.
