Email Setup - Settings Configuration
Choose from four options to improve email deliverability for messages sent through ServiceBox.
Email Configuration Options in ServiceBox
Ensuring your business emails reach your customers is becoming increasingly complex due to spam filtering. To help maximize deliverability, ServiceBox offers four ways to configure your outgoing emails:
1. Use the Built-In Email Provider (OK)
If you don’t configure anything, ServiceBox will send emails on your behalf.

From address:
servicebox@app.jobboxsoft.com

Reply-to address: whatever email you’ve entered as your work email
Depending on the email client your customer is using, the email details will look something like this:
Advantages:

Easiest setup—works with public domains like Gmail

Delivery statuses show in the Email Log Report
Disadvantages:
-
The mismatch between “from” and “reply-to” addresses can cause emails to be flagged as spam
2. Validate Your Email Address (Better)
You can verify your email address as a trusted sender from within Settings → Tenant → Email.

Add a name and email on the left-hand side and click Add

You’ll receive a verification email—click the link to complete the process
Result:
Email will show your verified email address as the “from” and “reply-to,” but will still include via pm.matsv.net.
Advantages:

Simple setup

Emails show your real address in both “from” and “reply-to”
-
Delivery updates appear in the Email Log Report
Disadvantages:
-
The “via” tag (pm.matsv.net) might still trigger spam filters
3. Configure DNS Entries for Your Domain (Best)
If you own your domain (e.g., @mycompany.com
) and can access your DNS settings, this is the most effective method.
Steps:

In Settings → Tenant → Email, enter your domain in the right-hand side and click Add
- Click the gear/settings icon beside your domain
The following pop-up screen will be displayed:

Add the provided DKIM TXT record and CNAME Return Path record to your DNS host

Click Verify once your DNS entries are saved
The Dkim Verified and Return Path Verified checkboxes should get checked off if the system can find the DNS entries you created.
⚠️ Note: It may take up to 48 hours for DNS changes to propagate
Advantages:

Strongest email deliverability
-
Confirms to recipient mail servers that ServiceBox is authorized to send for your domain

Delivery updates appear in the Email Log Report
Disadvantages:

Requires some technical knowledge and access to DNS settings
4. Use Your Own SMTP Server (Alternate)
You can also choose to use your own mail server by enabling "Use Custom SMTP Server" in your email settings.
Setup:
This functions similarly to configuring outgoing mail on a personal device.
Advantages:

Emails are sent directly from your own provider, improving trust and deliverability (assuming your provider has a good reputation)
Disadvantages:
-
ServiceBox will not receive delivery feedback

The Email Log Report will not show send/delivery status
Conclusion
Choose the method that best fits your business needs and technical capacity. For most reliability, we recommend configuring your domain with DNS records (Option 3).
