The error message customers often encounter reads:

"Error importing time for 'username' 2023-07-17: BadRequest. Details: Invalid Reference Id: Names element id '2345' not found."

This error occurs when trying to import timesheet hours from ServiceBox to QuickBooks Online. It indicates a reference ID mismatch, meaning QuickBooks cannot find the linked user, customer, or job site based on the ID provided by ServiceBox.

 

 

Root Causes of the Error

This error typically stems from broken or missing links between ServiceBox and QuickBooks Online. A common issue is inconsistency between usernames across both platforms. If the username does not exactly match, the sync can fail.

 

Steps to Resolve the Issue

  1. Matching Usernames
       - Ensure that the username in ServiceBox matches exactly with the employee name in QuickBooks Online.

  2. Validating Work Orders
       - Timesheets are often linked to work orders. Confirm that the customer and job site tied to those work orders are properly synced with QuickBooks Online.

  3. Verifying Customer and Job Site Links
       - Manually check each work order connected to the technician’s timesheet.
       - Ensure that both the customer and job site are linked to QuickBooks Online. Re-link if needed.

  4. Adjusting Export Settings
       - In ServiceBox Settings, review the export options.
       - If you plan to import timesheet data, uncheck:
         - "Export customers with invoices only"
         - "Ignore job sites with a…"
       - This ensures all relevant data is included in the sync.
