Handling Tax Codes and Tax Levels for USA Users - Getting Started

Learn how to configure and link Sales Taxes and Tax Levels between ServiceBox and QuickBooks Desktop.

Summary

In ServiceBox, we’ve created a flexible way to handle taxes by allowing for multiple Sales Taxes as well as Tax Levels. A Sales Tax is an individual rate, while a Tax Level is a group of one or more taxes. When connecting to any accounting product, you must link the taxes in ServiceBox with those in QuickBooks Desktop.

Taxes in ServiceBox

To add or edit taxes in ServiceBox, go to Username → Settings → Taxes.

 

Sales Taxes

ServiceBox allows for individual Sales Taxes (rates) and Tax Levels (combinations of rates). On invoices, taxable line items will have a Tax Level assigned.

 

Taxes in QuickBooks

In QuickBooks US, there are three sales tax-related items:

  • Sales Tax Codes (Lists → Sales Tax Codes): Used to indicate whether a line item is taxable or non-taxable.

  • Sales Tax Items (Lists → Items): Individual tax codes for items.

  • Sales Tax Groups (Lists → Items): Used to combine Sales Tax Items.

 

Accounting Connector

For USA customers using QuickBooks, make sure to check off the "U.S. Edition" on the Connection tab. This enables both the Tax Levels and Tax Codes tabs. If you do not see these tabs, confirm that "U.S. Edition" is selected.

 


 

Tax Codes Tab

The Tax Codes tab is used to link ServiceBox Sales Taxes with QuickBooks Sales Tax Items.

 

 

Once the tax groups are created, you can link the ServiceBox and QuickBooks Desktop taxes together.

 

Tax Levels Tab

In this tab, the Non-Taxable Tax Code refers to the Sales Tax Code mentioned above. For example, the non-taxable code may be named Non-Taxable Sales.

You will also need to link each Tax Level from ServiceBox to a Sales Tax Group in QuickBooks.

If your company doesn’t yet have tax groups created, you’ll need to set up a Sales Tax Group for each applicable tax. Then, link these items back to the appropriate ServiceBox Tax Codes.
