How Do I Know If ServiceBox Actually Sent the Email to Customer?
How to Confirm Invoice Emails Are Successfully Sent and Opened by Customers
Summary
Verifying invoice delivery is a crucial part of any business operation. It's not just about creating and sending them, but also making sure they actually get to the right people.
Recently, a customer told us that they used to get the confirmation in Notes that their invoices were sent, but those notes suddenly disappeared. So, in this article, we'll talk about few different ways you can get a confirmation that customer actually received these emails sent through ServiceBox.
Ensure Email Notes Are Enabled in ServiceBox
To confirm email actions are being recorded as Notes:
-
Go to Settings → Plan → Features
-
Check the box labeled "Add Note when emailing Quote, Work Order, Invoice or Vendor Order"
Once enabled, a Note will automatically be added in the system every time an email is sent.
Enable Read Receipts for Invoice Emails
To get notified when your customer opens an email:
-
Go to Settings → Invoices → Email Setup
-
Check the box for "Read Receipt"
This enables ServiceBox to send you an email confirmation when the recipient opens the invoice email.
Review Email Log Report:
You can also track email delivery using reporting tools:
-
Go to the Reporting section
-
Run the Email Log Report
Look at the "Latest State" column:
-
Open: The email was opened by the customer—strong confirmation of delivery.
-
Delivery: The email was accepted by the customer's mail server. However, this doesn’t always mean it reached their inbox, as delivery success may vary depending on spam filters or email rules.
