How To Use Quote Templates - User Guide

The Quote Template feature lets you pre-build reusable item lists for quick quote creation. You can choose to use the latest pricing or fixed prices, making quote generation faster and more consistent.

How to Use the Quote Template Feature in ServiceBox

The Quote Template feature allows you to build a library of frequently used quote items and inventory that can be quickly pulled into new quotes. It’s especially useful for companies that quote similar services or products regularly.

How to Activate Quote Templates

  1. Log in to your ServiceBox account.

  2. Navigate to Settings > Plan > Features.

  3. Under Quote/Invoice Features, check off Quote Templates to enable the feature.

Creating a Quote Template

  1. Go to Settings > Quotes tab > Quote Templates.

  2. Click Add Template.

  • Type in a name for your template.

  • (Optional) Check the box Default Template to make this your default quote layout.

  • Click OK.


3. Click the Edit button next to your new template.

  • Add required information in this template and check it in by clicking on the green checkmark.


             4. Add your quote items and inventory lines:

    • Description: Required field.

    • Quantity: Required field.

    • Latest: Check this box if you want ServiceBox to always use the most recent price from the Inventory tab.

    • Sales Price: Leave blank to show $0 in the quote, or set a fixed price.


    5. Click the green checkmark to save each item.

⚠️ If "Latest" is unchecked and no sales price is entered, the quote will display a $0 price. You can still edit this in the quote afterward.

 
Quote Template Text Management


Users can now create and manage the text stored within quote templates.

This allows administrators and office staff to maintain approved wording that can be reused across multiple quotes.

Benefits include:

  • Standardized customer communication
  • Faster quote creation
  • Reduced manual typing
  • Consistent branding and messaging
 

Applying Quote Templates

When creating or editing a quote, users can apply saved template text directly into the Quote Information section.

This helps ensure consistency between team members and reduces the chance of missing important information.

Using a Quote Template

  1. Click New > Quote from the main screen.


 

2. Choose a template from the dropdown.

3. Fill in Bill To and other details, then click Save.            

4. Navigate to the Calculator tab:

    • Your quote will be pre-filled with the template items.

    • "Latest" pricing items will reflect current inventory pricing.

    • Fixed-price items will display exactly as defined in the template.

    • Edit or update any items if needed before finalizing the quote.
