Prevent Accidental Sharing with Internal-Only Attachments in ServiceBox

Have you ever needed to keep certain attachments hidden from customers?

With Internal Attachments, you can now mark files as Internal Use Only so they won’t be available for emailing or printing. This helps prevent accidental sharing of sensitive or internal information.

 

How to Enable Internal Attachments

  1. Navigate to SettingsPlanFeatures.

  2. Enable “Internal Only Attachments”.

  3. (Optional) Enable “Default Attachments to Internal Only” if you want all new attachments to default as internal.

 

 

 

Using Internal Attachments

Once enabled, you can mark individual attachments as Internal Use Only when uploading them to a Quote, Work Order, or Invoice.

  • Simply check the "Internal Use Only" box.

  • Once marked, these attachments:

    • Will not appear when selecting files to include in customer emails.

    • Will not be added to printable PDFs sent to customers.

This feature ensures only the appropriate documents are shared externally.

 

What Will Show When Sending Attachments?

When you're emailing or generating PDFs, only non-internal attachments will be visible and selectable. Internal attachments stay hidden from customer-facing communication.
