Navigating Quote Visibility and Search Efficiency in ServiceBox: Understanding Quote Statuses and Customizing Expiry for Enhanced Management

In recent reports from our customers, concerns were raised regarding issues with quote visibility and search functionality within the ServiceBox platform. The primary concerns included the invisibility of quotes in list format at job sites and the exclusion of expired quotes from drop-down searches, even when multiple proposals had been issued to a client. This article aims to provide users with a clear understanding of how Quote Statuses function, with a particular focus on the customization of the "Expired After Months" field.

Quote Statuses Overview

The Quote Statuses section in ServiceBox helps organize and manage quotes. You can add, edit, or delete statuses to avoid duplication and streamline workflow.

By default, these statuses include:

  • Draft – Editable quote

  • Submitted – Sent to customer

  • Awarded – Approved by customer

  • Not Awarded – Declined by customer

You can customize these statuses as needed to match your quoting process.

 

 

Quote Search Functionality:

When conducting quote searches, it's important to note that the search functionality is limited to quote statuses. The drop-down search feature exclusively incorporates descriptions of quote statuses. 

 

Customizing the "Expire After Months" Field

Each quote status includes an “Expire After Months” field, which determines how long quotes in that status remain active before being moved to the Expired section.

Example:
If the “Submitted” status is set to expire after 1 month, any quote in that status will move to Expired after one month, and will no longer appear in default quote lists or searches.

 

 

Keeping Quotes Visible


To prevent quotes from expiring, leave the Expire After Months field blank. This ensures quotes remain visible in lists and searches indefinitely.

 

 

 

Key Notes

  • Expired quotes do not appear in dropdown searches

  • Leaving “Expire After Months” blank ensures ongoing visibility

  • You can still view expired quotes by clicking the Expired tab in the quote list
