QuickBooks Desktop - Mapping Revenue Accounts

How to map quote and invoice item categories to revenue accounts using the new tabs in the ServiceBox Accounting Connector.

Summary

We have had a request from a lot of customers that they needed to have better control over which revenue account new items are created.  We have added in 2 additional tabs into the accounting connector that will allow you to configure these settings.  This document will explain how to configure this for your business.


Accounting Connector Changes

Quote Revenue Accounts
 

The Quote Revenue Accounts tab is where the settings for all invoices that are created from quotes is configured.  This way when you generate an invoice from a quote inside of ServiceBox and import into QuickBooks any new items will be created into the corresponding revenue account.  


Some Definitions

  • The "ServiceBox Quote Item Category" will display all of the Quote Categories in ServiceBox
  • The "Accounting Revenue Accounts" will display all of the QuickBooks revenue accounts.
  • The "Revenue Account for Overridden Quotes" will display all of the QuickBooks revenue accounts.

Once you enter in the screen you will need to map the "ServiceBox Quote Item Category" to the "Accounting Revenue Accounts" and then link the two items together.  The mapping is what the Accounting Connector will use to map the new items into your QuickBooks Desktop Account.  Once this is configured the linking will occur during the Accounting Connector Sync.


For the "Revenue Account for Overridden Quotes" this will mainly be required the first time you set up the accounting connector.  When an invoice is created for a quote where the price override is set and then this invoice is imported into QuickBooks we create a new item called "ServiceBox Quote", this setting will create this item in the corresponding revenue account.


Invoice Revenue Accounts

If you read the Quote Revenue Accounts Tab, this info is basically the same as above (yes saved you time).

 

The "Invoice Revenue Accounts" tab is where the settings related to new invoice items and which revenue account they will be created in.  Follow the instructions below to configure this.


Some Definitions

  • The "ServiceBox Invoice Item Category" will display all of the Invoice Categories in ServiceBox
  • The "Accounting Revenue Accounts" will display all of the QuickBooks revenue accounts.

Once you enter in the screen you will need to map the "ServiceBox Invoice Item Category" to the "Accounting Revenue Accounts" and then link the two items together.  The mapping is what the Accounting Connector will use to map the new items into your QuickBooks Desktop Account.  Once this is configured the linking will occur during the Accounting Connector Sync.
