Gain Greater Control Over Payment Syncing with the New QuickBooks Payment Option in ServiceBox

Introduction
ServiceBox has added a ‘Payment Option’ to the QuickBooks Accounting Connector Program to offer users greater flexibility in how payments are managed. With this update, users can now choose whether or not payments are automatically synced with QuickBooks Desktop. If payments are not synced automatically, ServiceBox provides a helpful screen to manually review and process those payments.

 

1. Do Not Sync Payments

This option is ideal for users who prefer to manually enter payments in QuickBooks rather than syncing them automatically from ServiceBox.

How to Enable This Setting:

  • Open the Connector Program

  • Click the ‘Setup’ button in the top right corner

  • Navigate to the QuickBooks Payments Tab

  • Select the option: ‘Do Not Sync Payments’

  • (Recommended) Check the box at the bottom: ‘Show Payments that Cannot be Sync’d in Dialog’

 

How to Use:
Let’s look at an example. Suppose you’ve received a payment for Invoice 190047-7 in ServiceBox.
With the “Do Not Sync” option enabled, when you run the sync, a dialog box will display all payments that were made in ServiceBox but not synced to QuickBooks. This includes:

  • Invoice Number

  • Customer Name

  • Payment Method

  • Payment Reference

  • Payment Date

  • Amount

You can then manually create Receipts in QuickBooks using the provided details, ensuring full control and accuracy.

 

2. Sync Payments Automatically

This is the traditional and most seamless option. When selected, all payments made in ServiceBox will automatically sync to your accounting software during the sync process — no additional steps needed.

You can toggle between manual and automatic syncing based on your workflow, improving accuracy and flexibility in managing your payments.
