Recurring Work Orders - "Does Schedule after last closed workorder" work with status' other than closed? - FAQ
The Question:
We’re using recurring work orders for our maintenance clients. When setting up Recurring Work, we select the option “Schedule after last closed work order.”
We currently mark work orders as “Invoiced” when complete — to us, that means “closed.” Will this generate the next recurring work order, or do we need to set the status to something specifically marked “Closed”?
The Answer:
Yes — any status that is flagged as “Closed” in your system settings will trigger the creation of the next recurring work order.
To confirm which statuses are considered closed:
-
Go to Settings > Work Orders > Statuses
-
Check which statuses have the “Is Closed” box selected
If your “Invoiced” status is flagged as closed here, it will work just fine for generating the next recurring work order.
How the Timing Works
When “Schedule after last closed work order” is enabled, the system uses the date the work order is closed (not when it was created) to determine when to generate the next one.
Example:
-
Frequency: every 4 weeks
-
Initial work order created: Feb. 15
-
Status updated to closed: Mar. 1
→ Next work order will generate 4 weeks after Mar. 1
If this option is not checked, ServiceBox generates new work orders on a fixed schedule regardless of whether previous ones are closed.
