Tenant Tab - Settings Configuration

Summary

The Tenant Tab is where all details related to your company are stored, including information on company branding, contact details, locations, Job Sites, Work Orders, Quotes, colour schemes, and contract expiry warnings.

 

Tenant Tab: Settings 

As shown in the following screenshot, the first section in the Tenant Tab is Settings. This is where you can input company-specific details such as your logo, name, address, email, and website. This information will be displayed on your Quotes, Work Orders, and Invoices. Simply enter the information and click Save at the bottom of the screen to apply the changes.

We recommend uploading a company logo to personalize your ServiceBox interface. Ideal dimensions are 320x240 pixels, and both .jpg and .png file formats are supported.

To optimize your use of ServiceBox, you can also set your timezone, preferred currency, and the final month of your fiscal year for accounting purposes.

 

 

 

Below your company information, you can configure the following features:

  • Create Job Site for New Customer: Automatically creates the first Job Site using the customer's address when a new profile is added.

  • Display Country in Printouts: Includes the country on printouts for companies operating internationally.

  • Geo-Search Threshold: Defines how close technicians must be to a given postal code to appear in search results.

  • Next Work Order, Quote, and/or Purchase Order Numbers: Customize your next automatically generated document numbers.

  • Colour Scheme: Customize the look and feel of your ServiceBox environment.

  • Contract Expiry Warning Period: Set how many days in advance you’d like to be warned about an upcoming contract expiration.

 

Tenant Tab: Email

When configuring email for ServiceBox, you have three main options:

  1. Use our built-in email provider (OK)

  2. Validate your email address as a sender (Better)

  3. Configure DNS entries to authorize ServiceBox to send emails on your behalf (Best)

You can send your clients emails through the ServiceBox Server; however, if you would rather send emails through your company email server, input your email information in the Email subsection of the Tenant tab, shown in the screenshot below:

This subsection allows you to include the domain name of your company email. A subdomain is what appears after the "@" symbol in your email. For example, if your email is "john.smith@jobboxsoft.com", the domain name would be "jobboxsoft.com"

Note: Some companies prefer not to use ServiceBox for sending invoices. Instead, they download invoices as PDFs and send them externally. To do this, select an invoice, click the printer icon, and save it as a PDF.

 

Note: Additional Tenant Tab Features

If your company has multiple offices or departments, you can request to activate additional subsections within the Tenant Tab:

Tenant Tab: Locations

For clients with multiple service areas, we can enable the Locations subsection. You can add as many physical or service locations as needed.

An example of this subsection is shown in the following screenshot. 

 

 

Once added, you can filter by location in both the Work Order screen (left-hand navigation) and the Scheduler (top navigation bar). Dropdown menus on both screens will let you select the desired location.

 

 

Note: This is currently an experimental feature. We plan to expand multi-location capabilities in future updates.

 

Tenant Tab: User Groups 

This subsection allows you to group employees by department or role (e.g. plumbing, electrical, HVAC). Grouping users simplifies task assignment and scheduling.

An example of a User Group list is shown in the following screenshot.
