Troubleshooting Guide: Resolving Invoices Not Displaying Under Correct Job Sites in QuickBooks Desktop

Understanding the Issue

When Invoices are synced from ServiceBox with QuickBooks Desktop, invoices are not displayed under the correct job sites, it may show under the customer within QuickBooks. 

 

The core of the issue lies in the job information attached to the customer in QuickBooks Desktop. If job information is filled out, it may prevent the creation of a new job site during the export process, even if the option to export job sites is selected.

 

 

Customer record will be created within ServiceBox, however, jobsite will not.

 

Steps to Resolve the Issue

1. Add the Jobsite in ServiceBox

  • Open the customer
  • Go to the Job Sites tab
  • Click on the Add Job Site button

 

2. Clear Job Information in QuickBooks Desktop

  • In QuickBooks, navigate to the customer’s Job Info tab

  • Clear any job-related information that may be blocking the sync

 

Delete ServiceBox-Originated Invoices in QuickBooks

  • Delete any invoices in QuickBooks that were imported from ServiceBox

  • Be careful to only delete invoices that originated in ServiceBox—not those created manually in QuickBooks

 

 

4. Unlink Customer and Invoices in ServiceBox

Unlink the Invoice:

  • Open the invoice

  • Uncheck “Linked to QuickBooks Invoice” to remove the link

 

  • Unlink the Customer:

    • Open the customer record

    • Click on the Links button

 

  • Click Delete to remove the link between ServiceBox and QuickBooks

5. Run the Sync Again

  • After completing the above steps, initiate the synchronization in ServiceBox

  • The system should now be able to create new job sites in QuickBooks and correctly link the invoices

6. Verify the Results

  • Check that invoices are now displaying under the appropriate job sites in QuickBooks Desktop

  • Invoices should be linked not just to the parent customer but also to the specific job site
