Using Inventory Items Within a Quote - User Guide

This article explains how to use inventory items within quotes in ServiceBox, including how to search, edit, and price them. Inventory is only reduced once items are added to a work order.

This article explains how to use inventory items inside of a quote in ServiceBox. Inventory must be enabled and inventory items already created in your account in order to use this functionality.

Using Inventory in a Quote

When inventory is enabled in your site, you’ll see an Inventory section within the pricing area of any quote. This section allows you to:

  • Check availability of inventory across all locations

  • Add inventory items directly to the quote

You’ll see a screen similar to this:

Inventory Table Columns

The Inventory table contains the following fields:

Column Description
Item Number Searchable by both item number and description
Description The item’s description (not searchable separately)
Unit Cost The inventory unit cost (not editable)
Latest Cost The most recent recorded cost (not editable)
Sale Price The price you plan to charge the customer (editable)
Quantity The quantity you are quoting (editable)
Tax Level Defaults from inventory settings, but can be adjusted manually

 

How to Add Inventory Items to a Quote

  1. In the Inventory section of the quote, search for the item number or description.

  2. Adjust Sale Price, Quantity, or Tax Level if needed.

  3. Enter the quantity and click Add Row.

Each line total is calculated as:
Sale Price × Quantity

These lines will contribute to the Inventory subtotal and will appear in the overall quote totals, including any applicable taxes.

 

Can I Still Use Other Pricing Categories?

Yes , quotes can still include other pricing categories such as:

  • Labour

  • Non-inventory items

  • Flat rate services

All categories will be included in the quote subtotal and tax calculations.

When Are Inventory Items Deducted?

Inventory is not deducted from your actual inventory levels when added to a quote.

Inventory is only reduced after the quote is approved and those items are added to a work order. This ensures that quoting does not impact your stock levels until the work is confirmed.
