Some of our customers have asked why invoices don't automatically retrieve inventory items from their associated quotes.

While this may seem counterintuitive at first, it’s actually an intentional design choice. This approach ensures accuracy, proper verification, and inventory control based on what was actually used — not just what was planned.

 

Understanding the Purpose of a Quote

A quote serves as an estimate provided to a customer. It outlines the expected costs, labor, and inventory needed for a specific project or service. However, a quote reflects anticipated usage — not actual usage.

 

The Role of the Work Order

After a quote is accepted, a work order is typically created. This is where the actual work is tracked — including how much time was spent and which materials were used. What happens on-site often differs from what was estimated, so relying on the work order provides a more accurate basis for billing.

 

Why Inventory Isn't Pulled from Quotes Automatically

There are two key reasons:

  1. Verification & Accuracy:
    Pulling items directly from the quote to the invoice would bypass the critical step of verifying actual material usage. This could result in overbilling or inaccuracies in customer charges.
