Why am I Unable to View the Work Order Despite the Red Highlight on the Work Order Tab?

Understanding archived work orders and how to access them

Issue

Some customers are experiencing an issue where the Work Order tab is highlighted red, indicating the presence of Work Orders under a particular customer. However, when they click on the tab, the work orders are not visible.

 

Cause

This happens due to how Work Order status settings are configured. When a Work Order is marked as Closed or Cancelled, ServiceBox may automatically archive it after a set time period—typically 12 months—as defined in the Work Order settings. While the tab still reflects the presence of these records, archived work orders no longer appear in the active list by default.

This archiving is designed to optimize performance and keep your workspace uncluttered, especially for long-term users with large volumes of historical data.

 

Solution

Customers can still access the archived Work Orders by opening the corresponding invoices. Invoices retain a comprehensive historical record of the work orders, even if they have been cancelled and subsequently archived from the main Work Order tab.
