Applying Discounts to Quotes and Invoices - User Guide

Easily attract and retain customers with ServiceBox’s discount features for quotes and invoices—customizable by user role and displayed clearly on printouts.

Offering discounts is a powerful way to attract new business or reward loyal customers. ServiceBox enables users to apply discounts directly to quotes or invoices—either as a percentage or a fixed amount. This article outlines how to activate the feature, assign permissions, and apply discounts to fit your business needs.

How to Activate the Discount Feature

  1. Go to Settings from the dropdown beside your login name.

  2. On the Plan tab, select Features.

  3. Scroll to the Quotes/Invoices subsection.

  4. Check off Discounts and click Save.

 

Assigning Discount Permissions by Role

Discount access is controlled through ServiceBox Roles. Each Role determines what parts of the system a user can access. If you want to allow certain users to edit discounts:

  • Work with ServiceBox support to enable "Can edit discounts on quotes/invoices" for specific Roles.

 

 

Applying a Percentage Discount

  • Open a Quote or Invoice in DRAFT status.

  • For Quotes: go to the Calculator tab.

  • For Invoices: locate the field on the Invoice Info page.

  • Enter the desired percentage in the Discount % field.

The system will apply the discount across the entire Quote or Invoice. The discounted total will appear in the subtotal section and on printed documents (unless the discount field is left blank).

Adding Fixed-Amount Discounts (Workaround)

To apply a fixed discount instead of a percentage:

  1. Add a new line item under the category Other (or another suitable category).

  2. Name the item something like “Discount.”

  3. Enter a negative Unit Price (e.g., -$100).

This amount will be subtracted from the total.

 

Individual Item Discounts via Pricebooks

For customer-specific or item-level discounting, use the Pricebook feature:

  • Create price lists tailored to individual customers or customer groups.

How Discounts Appear on Printouts

  • If a discount is applied, it will appear clearly as part of the quote or invoice subtotal.

  • If no discount is set, the discount field will not be shown on printouts.
